How to make a Gantt chart in PowerPoint

There are two honest ways to put a Gantt chart on a PowerPoint slide. You can draw the bars as rectangles, which sounds crude and is what most of the good looking project slides you have seen were actually made with. Or you can insert a stacked bar chart and hide its first series, which is the same trick Excel uses and gives you something driven by real dates. There is also a third thing PowerPoint offers that looks like the answer and is not, and it is worth ruling out before you waste an afternoon on it.

These steps are for PowerPoint for the web, the free version that runs in a browser with any Microsoft account. Unlike Word for the web, which has no charting at all, PowerPoint has the full Chart menu - but the data behind that chart does not live on the slide. Inserting one creates a separate Excel workbook in your OneDrive and hands you a link to it. That single difference is most of the reason to draw the bars instead.

Method 1: draw the bars as shapes

This is the method behind most project timeline slides, and there is no shame in it. A slide is a picture shown to an audience for ninety seconds. Nothing about it needs to be data driven, and the things that actually matter on a slide - a bar in your brand colour, a label that fits, one phase highlighted while the others fade back - are all easier when you are drawing rather than fighting a chart engine.

  1. Start with the grid. Insert a table with one column per week or month and one row per task, then set its borders to a light grey. The table exists to give you something to align against, and it doubles as your date header.
  2. Turn on the guides so shapes snap cleanly. Under View, enable Gridlines and Guides.
  3. Go to Insert > Shapes and pick the rounded rectangle. Draw the first bar across the columns its task spans.
  4. Format that first bar exactly how you want every bar to look, then copy it with Ctrl+D and drag the copies into place. Duplicating rather than drawing fresh keeps the heights identical, which is what makes the finished slide look deliberate.
  5. Select all the bars and use Shape Format > Align to distribute them evenly down the slide. Doing this by eye is where hand built timelines start to look hand built.

Milestones are diamonds rather than rectangles, sized to the row height. Dependencies, if you want to suggest them, are arrows drawn between bars - and it is worth being clear with yourself that they are decoration. Nothing behind them knows the tasks are linked.

The real advantage shows up in the meeting. Because every bar is a separate object you can animate them, revealing one phase at a time, or grey out everything except the quarter you are talking about. No chart will let you do that.

Method 2: the stacked bar chart

Use this when the dates are the point and you want the picture to follow them rather than the other way round. It is the same technique as in Excel: a bar has to start somewhere, so you plot an invisible bar first to push the visible one into position.

  1. Go to Insert > Chart. The sub-types sit under headings, so scroll to Bar and take the middle one, Stacked Bar.

  3. A chart appears with placeholder data, and a message telling you a new Excel file has been created with a link to it. That file is where the data lives.
  4. Click Edit in Excel and replace the placeholder data with three columns: task name, start date, and duration in days. Duration must be a number, not an end date.
  5. Back on the slide, hide the offset: select the start date series and set its Fill to No Fill.
  6. Tick Categories in reverse order on the vertical axis so the first task sits at the top.
  7. Tighten the horizontal axis Bounds to your project's first and last dates.

If steps four to six sound familiar it is because PowerPoint's charting engine is Excel's, and the fiddly parts are identical - including the fact that the axis bounds want a date serial number rather than a date. They are covered properly in the walkthrough for building the same chart in Excel.

Step two is the one to think about before you commit. The chart is not self-contained: the numbers behind it sit in a separate workbook in your OneDrive. Send the deck to somebody and they get the picture, not the data. Move or delete that workbook and you have a chart nobody can edit. For a deck that gets emailed around, that is usually a reason to draw the bars instead.

One PowerPoint specific tip: if the plan already exists in a spreadsheet, do not rebuild it here. Copy the finished chart from Excel and paste it onto the slide. You will be offered the choice of keeping it linked to the workbook or embedding it, and linked is usually wrong for a deck that gets emailed around, because the link breaks the moment the file leaves your machine.

Why SmartArt is not the answer

Insert, SmartArt, Process gives you a row of connected chevrons or a horizontal timeline, and at a glance it looks like exactly what you came for. It is not, and the reason is worth naming because it is the same reason a lot of project slides quietly mislead people.

A SmartArt process graphic shows sequence. Step one, then step two, then step three. Every step is drawn the same size regardless of whether it takes a day or a quarter. A Gantt chart shows duration and overlap - that is its entire purpose, and it is the thing the audience reads without being told to.

Put a two week task and a four month task on the same SmartArt timeline and the slide says they are comparable. Put them on a Gantt chart and the slide says one of them is your problem. If your five phases really are the same length and nothing overlaps, SmartArt is fine and faster. Otherwise it is a graphic that hides the information you were trying to show.

The same thing in Google Slides

Slides works the same way for shapes and differently for charts, and the difference catches people out.

The shapes method transfers exactly. Insert a table for the grid, then Insert > Shape for the bars, and use Arrange > Align and Distribute to tidy them up. If anything it is slightly quicker, because the alignment tools are easier to reach.

The chart method does not exist in Slides. Going to Insert > Chart gives you bar, column, line and pie, and whichever you pick, Slides creates a linked Google Sheet to hold the data - there is no editor inside Slides itself. So the actual method is to build the chart in Sheets first, then insert it with Insert > Chart > From Sheets, and press Update on the slide whenever the spreadsheet changes.

What you are giving up

Everything a slide gives up is the same thing: the plan stops being a plan the moment it lands on the slide. It becomes a picture of what the plan looked like on the day you drew it.

Nothing recalculates. No task knows that it follows another one, so when the first phase runs a week over, nothing after it moves. You reopen the deck before the next meeting and drag rectangles, or retype dates, and the version that is still sitting in three people's inboxes is now wrong and looks exactly as authoritative as it did before.

That is fine, and often correct, when the deck is a snapshot for an audience who need the shape of the plan rather than its current state. It is a bad idea when the slide has quietly become the only place the schedule lives, which happens more often than anyone intends. The tell is when someone asks what the current dates are and the answer is to open a deck.

A better division of labour

Keep the plan somewhere it can recalculate, and treat the slide as an export of it.

That way the deck stays a picture, which is what a deck is good at, and the schedule stays somewhere that knows testing follows build. Common questions about Gantt charts in PowerPoint

Does PowerPoint have a Gantt chart template?
Not as a built-in chart type. Microsoft's template gallery carries project timeline layouts that are made from shapes, and they are a reasonable starting point if you want the alignment done for you. There is no data-driven Gantt option in the chart menu.
Where does the chart data actually live?
In a separate Excel workbook that PowerPoint for the web creates in your OneDrive the moment you insert the chart. There is no data grid on the slide, so the deck is never self-contained: anyone you send it to gets the picture but cannot change the numbers without access to that file.
How do I show dependencies between bars?
Draw arrows between them with Insert and Shapes. They are illustration only, and it is worth remembering that nothing behind them is linked, so if you move a bar the arrow will happily point at the wrong place.
Can I animate the timeline phase by phase?
Yes, and this is the strongest reason to use shapes rather than a chart. Select the bars for one phase, apply an entrance animation, and set it to start on click. A chart object animates as a single unit, so you lose that control.

Where to start

If the slide is for an audience, draw the bars. It is faster than it sounds, it looks better, and it animates. If the dates are the point and you expect to be asked about them, insert the chart so the picture follows the numbers rather than your dragging.

Draw one row first - a table for the grid, one rectangle, then duplicate it. Five minutes will tell you whether the shapes method is enough. If you find yourself redrawing the same slide before every status meeting, keep the plan somewhere that updates itself and paste the picture in.
