Almost everything on this chart depends, directly or indirectly, on the venue booking. Catering depends on the kitchen. AV depends on the room. The run sheet depends on the layout, and the promotion copy depends on knowing where people are going.
That is why the shortlist-and-visit task is twelve days rather than a line item: getting it wrong or leaving it late compresses every phase that follows. Once the venue is booked, three vendor tracks open up in parallel and the schedule breathes again.
The wrap-up phase runs for about three weeks after the event and most plans do not have one. Teardown, thank-you emails, the attendee survey while it is still fresh, the vendor invoices, and a debrief while anyone still remembers what went wrong.
Putting it on the chart before the event means someone has time allocated for it afterwards, rather than it landing on whoever is least able to say no.
